From Design to Delivery: Understanding the 15-30 Day OEM Production Timeline
Why Production Timeline Transparency Matters
One of the most common frustrations importers have with overseas manufacturers is vague or overpromised timelines. "30 days" becomes 60 days. "Sample in one week" becomes a month. These delays cascade — missed Amazon restock deadlines, empty shelves, lost sales rank, and strained customer relationships.
At HYD Xiamen, we publish our production timeline openly and stand behind it. This article gives you a phase-by-phase breakdown of exactly what happens after you place an order — and the realistic timeframes for each stage. Understanding this process will help you plan your inventory cycles, set accurate expectations with your customers, and build a supply chain that does not create unnecessary stress.
Phase 1: Sample Development (1–3 Days)
For existing product lines (standard OEM orders with logo/packaging customization), sample development is fast. HYD maintains production-ready molds and components for all core products, including our smart automatic pet feeders and pet water fountains.
In this phase, our team:
- Pulls production components and assembles a prototype unit
- Applies your custom logo artwork to the product surface or prepares a printed mockup
- Assembles a branded packaging sample using your design files
- Performs a basic function test on the sample unit
For fully custom ODM products requiring new molds or hardware modifications, sample development takes 7–15 days depending on tooling complexity. This article focuses on the standard OEM production timeline.
Phase 2: Design Approval and Pre-Production Confirmation (1–2 Days)
Before mass production begins, you will receive digital photographs and/or a physical sample (if requested) for your approval. This stage requires:
- Customer review and approval of sample quality, logo placement, and packaging design
- Confirmation of final specifications (color, accessories, user manual language)
- Deposit payment (typically 30–50% of order value) to release production
Turnaround time for design approval is within your control. Customers who review and respond promptly move to production within 24 hours of sample dispatch. Delays in this phase are the single most common cause of extended overall timelines — clear, timely communication keeps production on schedule.
Phase 3: Mass Production (5–10 Days)
With approval confirmed and deposit received, your order enters our production queue. For standard product lines at our typical MOQ tiers:
- 100–500 units: 5–7 production days
- 500–2,000 units: 7–10 production days
- 2,000–5,000 units: 10–15 production days
During mass production, our team runs in-process quality checks at key production milestones. For electronic products like smart feeders, every unit undergoes electrical safety testing and function verification before being moved to the packaging station.
Our factory operates with dedicated production lines for electronic assembly, mechanical assembly, and packaging, allowing parallel operations that compress total production time. A 500-unit smart feeder order, for example, can have circuit board assembly, housing production, and packaging material preparation occurring simultaneously rather than sequentially.
Phase 4: Quality Inspection and Testing (2–3 Days)
Before any order is packed for shipment, it undergoes our standard pre-shipment inspection protocol:
- AQL sampling inspection: We follow AQL 2.5 sampling standards (or tighter, per customer request) for visual defects, dimension checks, and labeling accuracy
- Function testing: 100% function test for electronic units (WiFi connectivity, app pairing, motor operation, timing accuracy)
- Drop test: Sample units tested for packaging durability
- Carton weight and dimension verification: Critical for FBA shipments where carton compliance affects receiving rates
Customers may arrange third-party inspection (SGS, Bureau Veritas, Intertek) at this stage. We accommodate all major inspection companies and provide at least 48 hours notice before the inspection window.
If our inspection identifies issues, we either rework the affected units or re-run the production batch. We do not ship products that fail our own inspection standards.
Phase 5: Packaging and Shipping Preparation (1–2 Days)
Final packaging involves:
- Product insertion into retail packaging
- Carton packing (standard export carton or custom master carton per your specifications)
- Barcode and labeling (FNSKU labels for Amazon FBA, retail barcodes, etc.)
- Packing list and commercial invoice preparation
- Coordination with your freight forwarder for pickup or HYD-arranged shipping
For Amazon FBA shipments, we apply FNSKU labels, prep cartons to FBA receiving standards, and create the shipment documentation your freight forwarder needs for customs clearance. We ship to any major port — Xiamen, Shanghai, Shenzhen — and can coordinate with your nominated freight forwarder or arrange shipping through our logistics partners.
Factors That Can Affect Your Timeline
While our standard timeline is 15–30 days from order confirmation to dispatch, several factors can extend this:
- Chinese public holidays: Spring Festival (January/February), National Day Golden Week (October 1–7), and Labor Day (May 1–5) close our factory for 5–10 days. Plan accordingly.
- Component shortages: Global supply chain disruptions can affect specific electronic components. We maintain safety stock for our core products, but high-demand periods may require longer lead times.
- Custom tooling: If your order requires new molds or custom hardware, add 7–15 days to the timeline.
- Delayed customer approval: As noted above, prompt review of samples and designs is critical to timeline adherence.
How to Expedite Production When Needed
For time-sensitive orders, HYD offers expedited production options:
- Rush production scheduling: For an additional fee, we can prioritize your order ahead of standard queue position
- Air freight: Reduces transit time from 25–35 days (sea freight) to 3–7 days at higher cost per kg
- Pre-production stock: For repeat customers, we can maintain a safety stock of finished goods ready for quick dispatch
Discuss your timeline requirements with our sales team when placing your order — our OEM/ODM team will advise on the most cost-effective way to meet your deadline.
Planning Your Inventory Cycle
For Amazon sellers and e-commerce brands, we recommend planning your reorder cycle based on:
- Production lead time: 15–30 days (factory dispatch)
- Sea freight transit: 25–35 days (to US West Coast), 35–45 days (to US East Coast or Europe)
- FBA receiving: 3–10 days (variable)
- Total replenishment cycle: 43–75 days
When your inventory reaches a 60-day cover, it is time to reorder. Contact us through our inquiry page to discuss your production schedule and set up a recurring supply arrangement.
